Special rates at selected hotels have been secured for your convenience. Please book early, as there is limited space available during the track season (the earlier you book reservations, the more you will save).

 

PUBLIC TASTING SCHEDULE

There will be 4 Public Tasting Sessions taken place on
Friday August 20th- Session 1 11:45AM to 4:30PM and Session 2 from 5:45 to 10:30PM*
and
Saturday August 21st Session 3 from 11:45 to 4:30PM and Session 4 from 5:45 to 10:30PM*.

*VIP Lounge (only) is open till 10:45PM.

 

BREWERY AND  DISTILLERY REPRESENTATIVE PASSES

As part of the registration fee, each brewery or distillery may designate up to four representatives who may promote or distribute products at the booth.

A maximum of two additional representative passes may be purchased for an additional $100 per pass.

Passes are good for all four sessions, including the Industry only welcoming cocktail event on Thursday August 19th.

All representatives will be I’d and wrist-banded each day. Please plan accordingly and allow time to get wrist banded and ID’d on site before entering the hall (no wrist band, no entry).

Our goal is to educate the consumer about beer, bourbon and scotch. We highly recommend that at least one brewery or distillery representative is present at your booth at all times during the public sessions.

 

GUIDELINES FOR BREWERY AND DISTILLERY REPRESENTATIVES:

  • All representatives must be 21 years of age. No Exception.
  • Promotion of your product must be maintained within the confines of your booth.
  • Representatives must maintain sobriety while attending the event.
  • Any representative deemed intoxicated during the event shall be subject to ejection.
  • Representatives shall at all times conduct themselves with appropriate decorum.
  • Throwing promotional items into the crowd from the booth is strictly prohibited.

 

GUIDELINES FOR SERVING BEER:

  • Consumers, brewers, distillers and volunteers may not have more than the NYS legal pour amount in their glasses at a time. (Beer XX ounces., Wine XX ounces., and Liquor XX ounces)
  • Beer, bourbon, scotch and all spirits shall only be served from behind the table in the booth space.
  • All representative passes are the property of the Saratoga Invitational and may be revoked at any time.

 

DISPLAYS AND PROMOTIONAL MATERIALS:

  • Each brewery and distillery is provided an 8 foot Table with an 8 foot high drape located directly behind the table for brewery displays.
  • All wall displays must be less than 6 feet long by 4 feet high.
  • Table displays must be less than 3 feet tall by 3 feet wide.
  • Tents: If your tent stays in your designated area, you may use one.
  • Complimentary promotional items may be distributed to attendees, however please note that the cost of removing brewery or distillery labels and stickers found on Saratoga Spring’s City Center windows, mirrors or other surfaces will be charged directly to the brewery or distillery.

The program will be given to all attendees as well as extra copies to be distributed at restaurants and hotels, and places of interest throughout Saratoga. There will be a minimum of 15,000 copies.

Want to be creative with your Brand? We are offering a limited number of Saratoga Invitational experience rooms, which are located in the Hotel Ballroom adjacent to the convention hall. These rooms will provide you with ample space to be creative and present your own unique experience to attendees. You may reserve your room for one day or the entire event.

One brand per room is allowed, the room comes with skirted table, chairs and glassware if needed. All other items needed for the room should be provided by you or can be ordered through the hotel. Inquire about he cost for your Saratoga Invitational Room.

Speaker Packages:

The speaker package provides you with the opportunity to conduct a seminar to a captive audience. Featuring your product and your brand representative as the guest speaker.

The speaker package includes a private banquet room that is set up classroom style. Glassware and water are provided. (pricing for audiovisual needs can be provided upon request.
